Administrative Secretary
he Berkeley County Engineering/Building Permits Department is
accepting applications for Administrative Secretary.
Duties include supervising permit technicians and to coordinate
the building permit process with clerical staff, inspectors and plan
reviewers. Renders
administrative assistance to the County Engineer, Assistant County
Engineers, Plans Examiners and Building Inspectors as needed. A complete description of duties are available on-line at www.berkeleycountycomm.org.

ADMINISTRATIVE SECRETARY
GENERAL RESPONSIBILITIES
Receive public and
assist as needed in all phases of permits processing to include
building, plumbing, electrical, mechanical, grading and use and
occupancy.
ESSENTIAL TASKS
(These are intended only as illustrations of
the various types of work performed. The omission of specific duties
does not exclude them from the position if the work is similar, related,
or a logical assignment to the position.)
- Assists
the Plans Examiners in processing building permits daily.
- Supervises
and is responsible for the continued maintenance of a wide variety
of records and files ranging from the initial setting up of permits,
to the possibility of voiding and refunding fees of voided permits
to the completion process of scanning.
- Handles
purchasing and payment of bills for the department; orders office
supplies as needed on a daily basis.
- Supervises permit technicians which includes handling
personnel problems on a daily basis; checks to ensure that all
tasks/responsibilities are completed on a daily basis; rearranges
schedules when staff may be off to ensure that the front office is
correctly staffed at all times.
- Responsible
for balancing daily the incoming funds generated by the department
and having a deposit
made with the Sheriff’s Dept; voids incorrect transactions made by
the permit technicians.
- Assists
permit technicians in answering the phone, scheduling of inspections
and waiting on
customers, when needed.

Assist general public in all phases of the permit process.

Assist clerical staff in the procedures of how permits should be
taken in and establish procedures
that will assure consistency in all areas of permit processing.
9.
Type engineering reports and other documents as necessary.
10.
Renders administrative assistance to the County Engineer, Plans
Examiners and Building Inspectors as needed.
11.
Performs related work as required.
KNOWLEDGE, SKILLS AND
ABILITIES
1. Thorough knowledge of
overall department operation.
2. Knowledge of office management practices and procedures
involved in
keeping strict accounts of permit applications, permits and reports.
3. Ability to supervise
secretarial personnel while maintaining good
communication with the County Engineer or supervisor of any problems
or
matters.
4. Ability to train permit
technicians.
5. Familiar with reading
construction drawings.
6. Knowledge and ability to
use computers, Windows & Microsoft Office.

EDUCATION AND
EXPERIENCE
1.
High School diploma.
2.
Advanced business school or college training in office
management,
business administration or related field.
3.
Minimum of 5-10 years secretarial experience.
A comparable amount of training and experience
may be substituted for the minimum qualifications.
PHYSICAL REQUIREMENTS
Must
have the use of sensory skills in order to effectively communicate and
interact with other employees and the public through the use of the
telephone and personal contact as normally defined by the ability to
see, read, talk, hear, handle or feel objects and controls. Physical
capability to effectively use and operate various items of office
related equipment, such as, but not limited to a, personal computer,
calculator, copier, and fax machine. No significant standing, walking,
moving, climbing, carrying, bending, kneeling, crawling, reaching, and
handling, pushing, and pulling. Ability to lift construction drawings or small office
equipment that may range from 10 to 15 lbs.
SPECIAL REQUIREMENTS
Possession
of a valid Driver’s License.
